Exploring the benefits of Lean Digital Transformation: an insider case study of a major public sector project

Lean Digital Transformation (LDT) initiatives are essential for enhancing service delivery, improving efficiency, and updating work practices across various sectors. However, these endeavours often encounter significant challenges, with failure rates estimated at around 70% and some studies suggesting they could reach as high as 90%. Despite attempts to address these issues, research outcomes have shown limited effectiveness.

Recognised for its effectiveness in enhancing processes and minimising waste, Lean offers a potential solution to facilitate the successful implementation of Digital Transformation (DT) initiatives. LDT involves strategically combining Lean methodologies with DT initiatives. Using a previously developed research framework, this study aims to empirically explore an LDT project to assess the impact of LDT. The initiative in focus is implementing a comprehensive, interconnected curriculum management system within a notable tertiary institution. Acknowledging the central role of the primary researcher in implementing the DT, this study employs an insider case-study methodology to conduct personally relevant research.

The study validates the LDT research framework utilised but also highlights the importance of integrating legacy systems and ensuring data integrity, which has yet to be emphasised in past LDT research. Many organisations undergoing DT have deeply entrenched existing systems and data structures. This study highlights integrating legacy systems without disrupting operations while ensuring seamless data extraction to maintain data integrity and continuity.

This study provides valuable insights for developing strategic plans and road-maps for LDT projects, identifying research gaps, and offering actionable recommendations. It also validates the effectiveness of Lean principles in real-world DT settings.
